Write Off Debtor Transaction

Following describes how to write off a Debtor Transaction.  This is often used when you know you will not receive the money from your customer.  This will stop it appearing on your Trial Balance.  

The total write off values are shown in the Day Book Report.  You can give this information to your accountant.

From the main menu select => Debtors, Processes, Payments, Enter Debtor Payments

Enter your Password or Operator code then Password on the Login window. Press F9

Enter in the Debtor you wish to do a write off to.

Select the Invoice you wish to write off, then hold down the CONTROL button and press F5 (Write Off).



When the Control button is pressed, it changes the toolbar at the bottom. (The CONTROL button is on the bottom left corner of the keyboard (under the SHIFT key).

The Write Off screen is displayed. Enter in the write off amount.

If you are using General Ledger, you can select a different General Ledger Account if required. Otherwise just use the one defaulted.

Enter in a note if required.

Press F9 to save the write off amount for that transaction.

Note: you will have to write off each individual transaction this way.

After all write offs have been done for each transaction, press F9 on the main payment window.

Note: A docket doesnt print for this transaction type. It will just return you to the login window.

 

To see your write off values in a report, run the Day Book Report.

From the main menu select => POS, Print Day Book Report.

Enter the date range required, and ensure the "Print Debtor Balance Report" is ticked.

Press F9 to run the report.
