This section covers the basics of using the POS system.



Making a sale

The following will take you through how to make the two types of sales, cash & account.

From the main menu select => POS then POS.  (ALT, P, P)

Enter your Password or Operator code then Password.

Ensure $CASH001 is in the Account code field.

Press F9

 NOTE: Depending on the setup that has been chosen, a password may not be needed.

The Point Of Sale new document screen is now displayed

You have now opened the POS window and are ready to make a sale.



Choose one of the following options to enter a sale:

  1. Cash sale – Cash, credit card & EFTPOS sales

  2. Account sale - Used for all sales that aren't cash.

Ensure POS new document window is open.  (Alt, P, P)

Enter / Scan the items being purchased.

Press F9 to open the tender window.

Select the appropriate tender option by using the mouse, or pressing the letter under the appropriate tender button.

Enter amount tendered and press ENTER.

If the customer is paying CASH, it is best to type in the amount the customer is giving you, as it will then display the change at the bottom of this screen and also after tendering.

On this example, the customer is paying by CASH, and has given me $30.00

Press F9 to save this transaction.

Account Sale

Ensure POS new document window is open. (Alt, P, P)

Enter / Scan the items being purchased.

Select F3 to display the Sale type: window

Select <A> Account Sale.

The Select Debtor window appears.

Enter the Debtor number or account name and press F9.

The POS screen should now show the Debtor that this transaction is going to be charged to.

Press F9 twice to complete the sale.

Applying a discount

Discount on a stock line

Select the item on the POS screen that the discount applies to

Press the F4 button.

Input the discount amount and press ENTER

 

HINT: You can also double click in the ‘Disc %’ column to enter the discount

Select the reason for the discount from the pop-up window

Complete the transaction by pressing F9 for cash sale or F3 for account sale.

On the POS screen press F4 twice to bring up the discount options window.

Select B Discount % on complete sale.

In the Global Discount Change window enter the discount in % and press ENTER

Select the reason for the discount from the pop-up window

The discount has been applied to all items.

Apply a non-priced item. (Department margin)

Non-priced items are items where the price isn’t known or can vary for e.g. delivery/ courier charge.

NOTE: Non-priced items must be set up in the system for this to work.

From the POS New Document screen, type the code of the selected non-priced item in the Stock Code field. A new window appears.

Enter the amount in Retail price field and press F9.

Open the POS window. (Alt, P, P)

Press F7 to open the Docket / Invoice Search window.

In the Docket / Invoice field press F2 to search for the quote.

Or

Search by typing in one of the following:

  • document number, debtor name, transaction date, order number, contact name or serial number

Or

Scan the Barcode

Once the invoice has been selected the document selected information will now be populated

Press F9 to reprint -  You need to keep this information as it will be used shortly.

Go to POS sales screen.

Enter the items from the reprint that need to be credited.

Change the quantity of the items to negative and press F9.

You are now in the Tender window. Select the same tender type as was used on the original invoice.

Press F9 to print the credit invoice.

The credit has now been entered into the system.

Credit on invoice

Open the POS window (Alt, P, P) and Login

Press F3 then select <C> Adjustment Note.

Select <I> Adjustment Note on Invoice.

In the Retrieve Invoice by window, select how you wish to search for the invoice.

  • A Debtor

  • B Invoice Number

  • C Job Number

  • D Order Number

In the search window that has popped up enter the relevant information or select by search using F2.

Press F9. A Credit Note Reason window will appear.

Enter the reason and press F9. This will bring up the transaction in POS Adj/Note window.

Select the item you want to refund/ return and put the quantity being returned in the Quantity column

Press F9

You are now in the Tender window. Select the same tender type as was used on the original invoice.

Press F9 to print the adjustment note.

Close a shift

Prior to beginning this process please process all sales transactions for the day and exit out of the POS system.

Go to =>POS / Till Shift Close. (Alt, P, T)

Enter in your Username or Password. Press F9 to continue

Press F9 in the Close Shift Search window.

Press F9 and select YES when asked if you want to close the shift.

The Tender Count Window appears

In the Actual Value column press F2 in the Cash row. This brings up the Cash Calculator

Enter the amounts for each denomination and press F9. The cash Actual Value filed is now populated.

Enter the remaining Actual Count & Actual Value figures and press F9

The shift is now closed.
