HOW TO RESENE Trade Invoices

The following procedure is used to load RESENE Trade Invoices into Sales Logic.
This process will create a Stock Adjustment for all products on those trade invoices.  It will use Stock Adjustment Code 32.  So ensure you have set the correct GL Account on this adjustment code.

Load RESENE Trade Invoices


The following process will download the latest Trade Invoices from RESENE and create a stock adjustment for each product sold.
This will ensure your stock values have any RESENE Trade Invoices reflected in your quantities on hand.
From the Striven main menu, click on Utilities, Imports, RESENE, RESENE Invoice Update.




Click on the Download and Process File button.


 

If a box appears asking you to copy a product from the catalogue as it couldn't be found in your system, click on "Yes" or "Yes to All"
At the end of this procedure a box may appear like the following:



If you select Yes to that message, a window will appear which will show you the products that need to be "fixed" so it can adjust your stock figures correctly.
In the below example, we can see the RESENE Invoice Numbers in the first column. You then need to check the actual invoice that was done on the Surefire system and try to findout what the stock item was that this barcode is relating to. Once you know the correct barcode, just enter it into the New Barcode field.
Press F9 when all New Barcodes have been filled in.


It is essential that if you sell "Accessories" on the e-RESENE site, you sell them with the ZACC code, and you type in the Barcode of the product first, then the description.  This will ensure Striven works out the correct match and saves you from having to enter in the product manually in this step.







You can load this file in again, by clicking on the Reprocess File button. This will just load in these Exceptions.



Exceptions


If there are products that could not be found in Sales Logic but were sold on a Trade Invoice, they go into the "Exceptions" list.
The exceptions list needs to be reviewed every now and then to ensure all sales have been loaded.
To review them, click on the Check Exceptions button.
In the below example, we can see the RESENE Invoice Numbers in the first column. You then need to check the actual invoice that was done on the RESENE system and try to find out what the stock item was that this barcode is relating to. Once you know the correct barcode, just enter it into the New Barcode field.



Press F9 to save these new barcodes.

View Report of RESENE Trade Sales


This procedure will create a report of all RESENE Trade Invoices loaded into Sales Logic.
Click on Utilities, Imports, RESENE, RESENE Invoice Update.



Click on the Report tab, then enter in the date range required.
Note: At the moment, the Starting and Ending Dates are the dates that the file was loaded in from RESENE, not the actual transaction dates of the Trade Invoice Sales.
Ensure the Detailed option is ticked.



Click on the Print button to view the report.

By clicking on the "Detailed" check box, a detailed report will show each product on each transaction:



If the "Detailed" check box is unticked, it will give a listing by date.



If the store was manually doing it and now want to move to Automatic, we need to move the invoices out of the folder as requested.

Go to SLPROG Server

Go to below location.

Pickup store code and check if there is any invoices.

Check with the store when they want those to automatically start from.

Move the rest of the invoices out of that folder and zip it.

Try Resene import at store again and it should import only the requested ones.
