Debtors - Strict Terms

The Strict Terms in Striven allows you to set particular debtors to be automatically put on Stop Credit if they are a certain number of days over the due date of an invoice.

This is helpful as you dont have to manage credit limits individually on your debtors the system will do this for you.

It is up to you if you wish to BLOCK the POS operator from continuing with the sale or just warn the POS operator at POS that the customer is past their Strict Terms.

 

Setting up Strict Terms

To setup the Strict Terms do the following.

Its a good idea to test this process on a couple of debtors before doing all your debtors. If you do wish to apply this setting to all debtors try out the Debtor Export and apply this setting for all Full Account customers.

Load Debtor Entry, by clicking Debtors, Entry, Enter Debtors

Load up the Debtor you wish to set the Strict Terms on.

Click on the Terms tab

Then change the Strict Terms Type to Days from Due Date.

NOTE: Just use Days from Due Date, dont use any other of the options in this list

Strict Terms: Enter in the number of days you wish the Strict Terms to activate after the DUE DATE of the invoice. In this example, I have entered 10, so the Strict Terms will activate 10 days after the due date of the invoice.

Strict Terms Amount: This is the amount that you wish to system to ignore. For example: I have 0.50c in here: the system will ignore any value UNDER 0.50c that has past the Strict Terms.

 

Press F9 to save.

 

POS

At POS, when this customer wishes to purchase something but they are over their Strict Terms, the following warning box would appear.

Security Settings

if you wish to only allow Supervisors to continue if the Strict Terms have been exceeded, you need to adjust the appropriate Security Code and disable Allow supervisor override of debtor strict terms.

When this option is right clicked, there are several options available which are described below.

No Access (red cross)

 

This would appear in POS after the warning, when the strict terms have been exceeded.

Where the customer would need to either pay for the goods immediately (Cash Sales Terms) or the POS operator would have to back out of the sale and make a payment on the customers account.

Full Access (no red cross)

 

If there was no security set, then it would prompt with the Sale Terms choice box, allowing the user to put this sale on the customers account as normal (Default Account Terms) or pay immediately (Cash Sales Terms)

 

Supervisor Override

 

When it is on Supervisor override, only a Supervisor can put it on any terms other than cash. It shows a different icon on the right showing it is for Supervisors only.

 

When one of these supervisor options are selected it would prompt with a password of a Supervisor to continue.
