User Defined Reports - Basic

This document describes how to create and run a basic user defined report that does not include sales information.

Example provided is a debtor report that shows Order/Job/Taken by prompts for each full debtor.

To create a user defined report: Utilities → Maintain User Defined Reports

Press F5 to create a new report, then choose B Custom entered new code.

Type DEBPROMPTS in report code, select Stock Reports from area.

Fill in items highlighted in red.

If "No Filter" is selected from the user filter option, the filters under the "Filters and Columns" are used.

If "Prompt for Filter" is selected, the user will be prompted for a filter when the report is run.

Select the columns you want displayed by clicking on the red dot. Fill in the rows as per the screenshot below.

Type: Select "Field" to add information like Debtor Code or Debtor Name to the report.

Field Spec: Choose the information you want to add to the report.

Title: Enter column title as you want it to appear on the report.

Sort: Enter 1 next to "Debtor Name" to sort by debtor name.

Width: Enter the width of the column.

Click the red dot pointed to by the red arrow below. Fill in as shown.

Only full debtor accounts that are set to receive statements will be shown on the report.

Click on the F9 Save button

Close the Maintain User Defined Reports app.

From the main menu choose Utilities → Run User Defined Reports

Select Debtor Reports from Area.

Select the DEBPROMPTS report that we just created.

Press F9 Run.

Type P for preview.
