Debtor Emails - Added functionality

Striven can now send transaction emails out to different email addresses for each transaction type.

This is great news if you have customers who would like their invoices to go to a different email address than the statements.

 

Multiple Email Addresses

To add multiple email addresses on a debtor, you can continue just added a semicolon ; at the end of each email address, or click on the F2 button on the email field and enter each address in the list.

The following changes are also in the Creditor Entry and Contact Entry screens.

Click on the F2 button on the right hand side of the Email field

Enter each email address in the list.

Press F9 to save these emails back into the debtor.

If you would like different options for different transaction types, do this in the Settings tab in Debtor Entry.

In the Debtor Entry window, click on Settings tab.

Delivery option

Click on the Delivery option for the options available when this transaction has been created.

Printer - Will only print this document

Fax - No longer supported

Email - Will send an email out with the document attached as a PDF

None - Will not print or email but will Prompt with a warning asking if you would like to set to email

Force None - Will not print or email. Will not prompt with any queries to the user.

 

Contact Email Prompt on transaction save

There are times when you would like to send a transaction to particular contacts only. Such as Quotes.

You can do this by following these steps in Debtor Entry.

Click on the Settings tab.

If you tick the Contact Prompt option, it will allow you to select from the list of contacts on this debtor and will email to just the selected contact/s.

It will only prompt on the contacts that have a “tick” for the particular transaction type in the Contacts tab

If the Contact Prompt option was ticked on Invoice like above, and I had these contacts setup in the Contacts tab, POS would prompt with the list of Contacts on this debtor.

Doing the same without Contact Prompt ticked will send the transaction to any contact that is enabled for that transaction type without the prompt appearing

When an Invoice is complete, it would prompt you with the nominated contacts you wish to email this transaction to.

If you dont want this transaction to go to a particular contact, just “Untick” it.

If you only want the system to send an email for a particular transaction type, you can do this in the Email setup.

Search for Email Setup from the Striven menu.

Select Yes on the Email Only option on the required document type.
